For regulated marketing teams

Write the way your customers already talk.Feed in your reviews. Every line gets checked against them.

Copytone reads the reviews your customers already wrote, counts the words they use, and scores every line on your website and in your emails against them, your own agreed words and a plain English standard. It suggests better lines in their words, and never changes one without you.

Your tone of voice guide goes in. It becomes your words, your banned claims and your readers.

A worked example for Hollin, a fictional health clinic. The scores, suggestions and library are Copytone's own output. Your studio uses your guide and your customers' words.

Step one

Your customers already wrote the standard.

You are sitting on thousands of sentences describing what you do, in the words people actually use for it. Copytone reads them once, strips anything identifying, and counts what is left. That count becomes the list your writing is measured against.

Step two

Then every line is checked against it.

Page by page for the website, and anything else you are writing in the playground. The score counts the parts of a line: whether it reassures, whether it names the thing, whether it says what happens next, whether it reads at the age you set, and whether it uses your words or theirs.

The writing desk

Feedback on every word, as you write.

Open any line and work on it at the desk. Hover a word to see what your customers say instead, how it reads and what your guide asks for. Take a suggestion with one tap, or leave it.

The rule that does not move

Nothing is rewritten. A person applies every change.

Every other tool in this category is racing to write for you. Copytone suggests, and someone on your team taps to accept, one change at a time, with undo everywhere. In a regulated business that is not a limitation. It is the only version you can put your name to.

Not just the website

Whatever you are writing, wherever it lives.

The playground is a blank sheet with the same checks running. Paste the email, the letter, the post or the deck note you are working on, shape it, and copy it back where it came from. Nothing you paste is saved or sent anywhere, which means it is safe for the things you cannot put in someone else's system.

Questions

The things people ask first.

What if we do not have many reviews?

Then this is not for you yet. The word lists are built by counting what your customers actually wrote, so it needs hundreds or thousands of real public reviews. A company with fifty reviews gets nothing worth paying for, and we would rather say so.

Does it rewrite our copy?

No. It suggests, and a person taps to apply each change. Nothing is ever changed for you, and undo is everywhere. That rule is the product, not a setting you can turn off.

Where do our reviews go?

You export them from the review site you already pay for. We take out names and anything identifying on arrival, delete the raw export as soon as it has been read, and keep only what customers wrote. We act as your processor under a written agreement.

Is it just for the website?

No. The website is scored page by page, and the playground takes anything else you are writing: an email, a letter, a post. Nothing you paste into the playground is saved anywhere.

Who is it for inside the team?

The person who owns the words, and everyone who writes them. Up to ten people on the Team plan. Nobody is scored, only the line is.

Can we change the rules?

Your words, your banned claims, your reading standard and your readers are yours to set. The way a line is scored stays the same for everyone, so a score means the same thing in January as it does in June.
